For parents navigating Hong Kong's competitive international school landscape, the single biggest mistake is starting too late. Most top schools operate on strict, unforgiving timelines. Missing a September application window or a December priority deadline can mean waiting an entire extra year. This month-by-month planner, starting 24 months before your child's intended entry, ensures you never miss a critical step.
The Golden Rule: Start 18 to 24 Months Early
The most successful families begin their research and preparation a full two years before their child would step into a classroom. This is not excessive - it is strategic. Early planning allows you to attend open houses, understand each school's unique culture, prepare your child for assessments, and submit applications before waitlists grow long.
24 Months Before Entry: Foundation Work
Roughly two years before your child's intended start date, begin your research. This is the time to understand different school philosophies and curricula - IB, British, American, and Canadian. Create a shortlist of six to eight target schools across different tiers, including reach schools, match schools, and safety schools. Join parent forums and follow your target schools on social media. Most importantly, note application deadlines for the coming year on your calendar so you understand the rhythm of the admissions cycle.
18 Months Before Entry: Deep Research
About a year and a half before entry, move into active research mode. Attend open houses and schedule campus tours for your top three to five schools. September is the most important month of the entire admissions calendar. ESF opens its central application for K1, Year 1, and Year 7. Chinese International School typically opens applications as well. Many other schools follow this September opening window. Mark these dates immediately and submit applications early in the window, not on the final day.
October and November bring additional deadlines. Hong Kong International School's primary and secondary deadlines typically fall in October and early November. Canadian International School and other schools also have deadlines during this period. For rolling admissions schools, which accept applications year-round, applying early still provides advantage before peak demand builds.
December and January involve key transitions. ESF's "Intent to Continue" deadline for existing K2 and Year 6 students falls in December - critical for through-train families. Many schools also hold first-round assessments and interviews during these months.
9 to 6 Months Before Entry: Assessments and Decisions From February through April, assessment days and interviews take place for first-round applicants. Schools begin notifying families of decisions, and waitlist notifications go out.
April and May are when deposit deadlines for accepted offers arrive. This is also when significant waitlist movement occurs, as confirmed families decline offers, opening seats for others.
May and June bring second-round offers and continued waitlist movement. Some families receive calls just weeks before the school year begins.
Rolling Admissions Schools
Not all schools follow fixed deadlines. Schools like Nord Anglia International School, American International School, and Hong Kong Academy operate rolling admissions. They accept applications throughout the year and fill seats as they become available. However, applying early in the calendar year, ideally between January and March, still provides advantage before the peak demand period.
Your Month-by-Month Milestone Checklist
Twenty-four months before entry, begin your school research, create a target school shortlist, and note upcoming deadlines. At eighteen months, attend open houses, tour campuses, and start financial planning. At twelve months, submit applications to ESF in September, to CIS in September, to HKIS in October and November, and to CDNIS in October and November.
